Rules of Procedure
Object
RIdIM (Répertoire international d’iconographie musicale) is an international organisation charged with the cataloguing of musical iconography. RIdIM deals with methods and principles of cataloguing works and documents of musical iconographical interest. It disseminates information about the activities of the different RIdIM national Committees.
I. Sponsoring Associations
A. The activity of RIdIM has three sponsoring associations: IAML, IMS and ICOM/CIMCIM. It is governed by a Commission mixte and administered by an International Secretariat (see below).
B. Sponsorship by any other association must be approved by the Commission mixte.
II. The International RIdIM Secretariat
A. The Administrator of the International Secretariat is appointed for a four year renewable term, by a majority of the members of the Commission mixte. The International Secretariat should be located at an institution participating in RIdIM work.
B. The decision as to the location of the International Secretariat should be made by the sponsoring associations based on a recommendation from the Commission mixte.
C. The Secretariat is responsible for promoting and disseminating RIdIM work.
D. The Secretariat coordinates the professional programme of the RIdIM meetings, whether these take place independently or in conjunction with the meetings of the sponsoring associations. The sponsoring associations may appoint a programme committee to help the Secretariat with the programme.
III. Commission mixte
1. Membership
A. The Commission mixte has nine voting members. Each sponsoring association appoints three members.
B. The representative of the institution housing the Administrator of the RIdIM international center and the Administrator are non-voting member of the Commission mixte.
C. Voting members serve on the commission mixte for a term of four calendar years. This term may be renewed, but a member may serve no more than two consecutive terms.
D. Appointments made to replace members who do not complete their terms end when their predecessors’ terms would have ended.
2. Officers
A. The officers are: the Chairman, the Vice-chairman, and the Secretary of the Commission mixte.
B. The officers are chosen by the voting members of the Commission mixte from amongst themselves.
C. Officers are appointed for four year terms.
D. Election of officers takes place every four years. The International Secretariat will be responsible for securing the nomination of candidates and organize the election. The officers begin their terms at the first Commission mixte meeting after the election.
E. If both the Chairman and Vice-Chairman become indisposed, new mid-term elections will be held to find successors. The terms of these newly elected officers end when their predecessors’ terms would have ended.
3. Responsibilities of the Commission mixte
A. The Commission mixte receives reports form the Administrator of the RIdIM International Center and from other individuals and national committees as appropriate.
B. The Commission mixte makes major policy decisions regarding RIdIM.
C. The Commission mixte may appoint ad hoc committees as necessary. Members of such committees need not be members of the Commission mixte.
4. Meetings of the Commission mixte
A. The Commission mixte meets at least once a year, normally in conjunction with the meeting of one of the sponsoring organizations.
B. A member unable to attend a meeting may designate a substitute to attend by notifying the Chairman, the RIdIM Secretary or the RIdIM Administrator in writing, prior to the meeting.
C. The Commission mixte may invite other associations to send representatives to the meeting, to act as observers or consultants.
IV National Committees
National Committees of RIdIM should be responsible for the RIdIM work in that country, for reporting annually to the international RIdIM Secretariat and for communicating with its contributing members.
The Commission mixte has agreed to these rules of procedures on 3 December 2004.
